Database Marketing: $84,000 From a List You Already Own

There is one lead source that costs almost nothing, is already paid for, and sits untouched in most plumbing and HVAC companies. It is your database: past customers, estimates that never closed, prospects who called once and disappeared, names collected at a home show three years ago.

Every one of those records represents money you already spent to acquire someone. Ignoring them is the most expensive habit in home services, and fixing it is usually a two week project.

What One Send Produced

72 Degrees Plumbing and HVAC had roughly 5,000 records scattered across their CRM, their billing and dispatch platform and a few spreadsheets. We consolidated them and sent one seasonal offer.

72 Degrees Plumbing and HVAC, first database campaign
Metric Result
Contacts in the consolidated database About 5,000
Replies to the first offer 300
Booked jobs 24
Revenue produced $84,000
Media cost Effectively the cost of the messages

That is revenue from people the company had already paid to acquire. No auction, no cost per click, no competing with three other contractors for the same lead.

Assemble the List First

The work is mostly plumbing of a different kind: getting the records into one place. Pull from every system you have.

  • Your dispatch and billing platform, which holds every customer you have invoiced
  • Your CRM, which holds the deals that never closed
  • Estimates and proposals that were sent and never signed
  • Web form submissions from the last several years
  • Call tracking records with caller names and numbers
  • Spreadsheets on somebody's desktop, event lists, membership lists

De-duplicate by phone number, drop obvious bad data, and tag each record with the last service and the last date of contact. That tagging is what lets you send relevant offers later instead of the same message to everyone.

Write the Offer

The message that works is short, seasonal, personal and has one clear reply action. Here is the structure, close to what 72 Degrees sent.

Hi, this is Alice with Bob's HVAC. With fall here we wanted to be sure your home is ready for the cold. As your trusted HVAC professionals we are running a limited special: $500 off a new system install. Reply YES and we will send the coupon with all the details.

Four things make it work. It is from a named person, not a brand. It references the season, which gives a reason for the message to arrive today. It carries a specific dollar offer rather than a vague invitation. And the response is a single word, which is a far lower bar than clicking through to a form.

If you would rather start with email, our customer follow up email scripts are a good starting point for tone and structure.

Build a Calendar, Not a One Off

The mistake is treating this as a one time revenue rescue. The value comes from a rhythm, roughly one offer a month rotated by season and segment.

A simple twelve month database calendar
Season Offer angle Best segment
Early spring AC tune up before the first hot week Customers with no service in 12 months
Early summer System replacement financing Estimates that never closed
Early fall Heating check and safety inspection All past customers
Late fall Install special with year end pricing Unconverted prospects
Winter Water heater and pipe protection Homes over a certain age
Anytime Maintenance plan enrollment Repeat customers

Handle the Replies With Automation

Three hundred replies in a day will bury a front office that is also answering the phones. Plan for the response before you send.

Route replies into your follow up platform so an immediate acknowledgement goes out, then have automation offer a scheduling link and hand off to a human only when a question needs a real answer. This is the same speed to lead discipline that matters everywhere else in the business, and the same two way messaging and automation stack handles it. Without that, a successful campaign turns into 300 missed opportunities and an unhappy office.

Rules That Keep It Working

  • Honor opt outs immediately. Include an opt out on every text and process it automatically.
  • Do not oversend. Roughly monthly is a rhythm; weekly is a nuisance and will cost you the list.
  • Segment before you send. A maintenance plan offer to a customer who already has one damages credibility.
  • Track it like any channel. Sends, replies, booked jobs and revenue, so you know its cost per lead alongside everything else.
  • Keep the list clean. Every new job, form and call should feed the database automatically, not through someone remembering to export.

Done consistently, database marketing typically becomes the lowest cost per lead line in the entire marketing plan, and it is the only one your competitors cannot outbid you for.
