What Onboarding Should Look Like With a Marketing Agency

Too many agencies collect your payment and your passwords and then leave you wondering what happens next. Weeks pass. You are not sure whether anything is being built, and you have no idea what is expected of you.

We built the opposite. When you become a client you enter a defined launch process with clear milestones, clear responsibilities, and shared growth targets. Here is exactly what that looks like.

Part 1: We Start With the Business, Not the Tactics

Once the agreement is complete, onboarding begins. We collect the information, assets, and access we need, and we schedule your first strategic onboarding session.

That first call is not a technical setup call. Before we ask for a single password, we need to understand the business you are trying to grow.

  • Where are you today in terms of revenue, and where do you want to be 12 months from now?
  • What are your most profitable services?
  • Which markets matter most to you?
  • What is your average ticket and your close ratio?
  • How much capacity do you have right now?
  • What frustrated you about the marketing you have tried before?

Those answers shape the strategy. Then we do the math together.

Suppose you are at $2.3 million today and you want to reach $3.5 million over the next 12 months. That is a $1.2 million gap. If your average ticket is $650 and your close rate is 45 percent, you would need roughly 342 additional leads per month to produce that revenue.

That is not a promise. It is a working growth model. If your ticket changes, your close ratio changes, your capacity changes, or your service mix changes, the model changes with it.

But now we have real targets. We are not doing SEO because SEO sounds good. We are not running ads because your competitors run ads. Every channel has a job, and every decision traces back to the growth target we set at the beginning.

Part 2: We Make the Rules Clear

We set expectations on both sides from the beginning. Think of us as the engine and you as the driver.

We are direct about the limits here, because pretending otherwise sets everyone up to fail. Marketing cannot fix unanswered calls. It cannot create technician capacity that does not exist. It cannot overcome a broken sales process forever.

The best results happen when the marketing system and your operating systems are aligned. That is why this is a partnership rather than a handoff into a black box.

Part 3: Technical Kickoff

The next major step is the technical implementation kickoff. This is where we remove the blockers that stop campaigns from launching cleanly.

We verify access to the core systems: your domain, hosting, website, Google Business Profile, analytics, and Google Ads. Depending on scope we may also need Local Services, Search Console, call tracking, and your dispatch system, whether that is Housecall Pro, Service Titan, or Field Edge.

The important part is that we do not just collect a list of passwords and assume everything works. Every critical access point ends up in one of three states:

Pending Not yet resolved, with a named owner and a deadline.
Blocked Something is genuinely in the way, with an escalation plan.

That distinction matters, because the best strategy in the world cannot move if the previous vendor still controls your domain, nobody has admin on the ads account, or the tracking is silently broken.

This is also where we confirm how calls and forms will be tracked, how lead sources will be labeled, and where booked work and revenue will be stored. Getting this right at the start is what makes honest reporting on lead quality possible six months later. The cleaner the setup, the clearer the decisions we can make down the road.

Part 4: Build, Deploy, and Create Early Momentum

Once strategy and access are aligned, the internal build begins. The exact scope depends on your agreement, your market, and your starting point. It may include website buildout, SEO, Google Maps work, paid search, Local Service Ads, review systems, call tracking, database reactivation, retargeting, or lead follow up automation.

We do not force every client into every item on that list. We apply the same strategic framework to your actual business and your actual market.

While the long term assets are being built, we look for early wins. That might be fixing broken tracking, improving your Google Business Profile, running a review blitz, launching a paid campaign, or reactivating your existing customer database. The right early move differs by account, but the principle is constant: create visible momentum without sacrificing the foundation.

This is why we run short term and long term channels together. Paid channels can start producing as soon as accounts are approved, tracking is installed, and campaigns are live. SEO, Maps, reviews, and content take longer but build assets that compound. You should not have to choose between immediate demand capture and long term market authority, and a complete system needs both.

Part 5: Communication and What Launch Actually Means

Throughout the launch you should always know four things: what has been completed, what is in progress, what is blocked, and what we need from you.

We also have a no ghosting rule, and it cuts both ways. If a critical approval, access request, or asset goes unanswered long enough to put the work or the budget at risk, production may pause until we are aligned again. That is not a threat. It is how we protect the timeline, the team, and your investment.

Signing the agreement does not mean the campaign is launched.

Launch has a specific definition here. It means the required assets are live, the tracking has been checked, the campaigns are active, and the reporting is accessible to you. Until all four are true, we are still in launch.

From there the work moves into ongoing review and optimization. We monitor the technical metrics behind the scenes because they help us diagnose and improve performance. But we do not hide behind impressions and clicks in your reporting. You see leads, cost per lead, booked jobs, and revenue, and we measure those against the target we set together on day one. How to Judge Any Agency's Onboarding

Whether or not you ever work with us, use this as a checklist when you evaluate a marketing partner. Ask them these questions before you sign.

  1. Will we build a revenue model together, with a lead target derived from my ticket and close rate?
  2. Can you tell me in writing what you own and what I own during launch?
  3. How will you verify that access and tracking actually work, rather than just collecting logins?
  4. What will you do in the first 30 days to create early momentum while the long term assets build?
  5. What is your definition of launched?
  6. What happens if I am slow to approve something?
